wheelhouse booking policy

We want everyone to get the most out of our rides - including you, your fellow riders, and our lovely instructors who show up ready to bring the energy.

Our policy helps keep things fair for everyone: you get flexibility when you give us enough notice, and we protect the studio from losses when a space goes unfilled. Think of it as a little balancing act between freedom, fairness, and keeping the studio running smoothly - with zero hard feelings and all the good vibes.

FAIR USAGE

Book with good intentions
Please only book classes you genuinely plan to attend. We know life happens, but holding multiple "just in case" bookings stops others getting on a bike.

Cancel as early as you can
If your plans change, please cancel your booking with as much notice as possible so another rider can secure your saddle.

Please see the Cancellations section below for information on late cancellations, credit forfeits, and how our 24‑hour window works.

Not being a team player?
If you have 3 no-shows or cancellations in any rolling 30-day period, we reserve the right to pause your ability to make new bookings for 7 days. You'll still be able to attend classes you've already booked, but you won't be able to make any new bookings until the pause is lifted.

If we recognise that the pattern continues after this, we reserve the right to suspend or cancel your membership.

Join the waitlist
If a class is full, hop onto the waitlist. Spaces become available surprisingly often, especially when everyone follows the guidelines above.

Your credits are for you.

  • Your credits live on your individual My Wheelhouse account, meaning they can’t be shared or used to book for other riders.

  • One credit applies per ride, and multiple credits can’t be used for group bookings.

CANCELLATIONS

We want you to have the freedom to ride whenever you like, but because classes often sell out, every booked bike matters. If your plans change, please cancel your booking with as much notice as possible so another rider can secure your saddle. The following terms apply to cancellations depending on how you booked.

PAYG bookings

All PAYG bookings are non-refundable.

• If you cancel 24+ hours before your class, we'll add a credit to your account, valid for a ride within the next 14 days*

• Cancel within 24 hours or no-show, the booking is forfeited with no credit issued.

*Please note this does not apply to Pop‑Up events. No credit will be issued for any cancellation of Pop‑Up bookings.

Class Packs, The Regular and The Wheelie.

Please note that the system automatically reissues you a credit and therefore, if required under this Policy, we will manually deduct the forfeited credit afterwards. If you have re-used your forfeited credit, we reserve the right to cancel the relevant booking made with the forfeited credit.

• Cancel 24+ hours before → Credit returned.
• Cancel between 12 - 24 hours before → Credit forfeited if spot is not filled.
• Cancel under 12 hours OR No Show → Credit forfeited.

Thanks for helping us build the kind of community where everyone gets the chance to join in on the fun!

Love, Wheelhouse x
